Australian company Ezy Systems, established in 1993 with its head office in Bendigo, helps 300 wineries worldwide to manage every aspect of their business.

Its software program EzyWine integrates vineyard management, vintage operations, winemaking, bottling, plant servicing and accounting in one package. The accounting modules include general accounting, stock control, asset register, payroll, human resources, cashflow management, marketing, wine club, CRM and POS.

The EzyAccounts package, which excludes the vineyard and production modules, is utilised by many wine distributors and smaller wineries that have a busy wine club, cellar door, café and/or restaurant.

The wine club integration to modules such as stock control, logistics, general ledger, cashflow management, accounts receivable, POS and marketing removes the costs and errors associated with double entry when trying to use multiple packages. When club members visit your winery, the POS can display the member’s sales history and reward points balance. If any of the wine purchased is to be freighted, payment is processed at POS and a sale is automatically created in the wine club module for shipment.

Over the past 12 months there has been an increased demand for training in the wine club modules as wineries look to increase revenue in this area of their business.

“A successful wine club can create a new revenue stream and move a lot of wine,” Ezy Systems director Nick Cugura said. “It’s important to have defined goals and to regularly measure whether they are being achieved. There should be benefits for you and the wine club member. You will need to invest time and resources to ensure goals are met.
“If you want to start a wine club and have a list of potential members, you may want to provide a tempting offer, latest newsletter, rewards program information, with a registration form which includes their preferences and payment details. These new members are then created in EzyAccounts as debtors.

“To have a successful wine club you need to ensure that you have the right systems and people in place to manage your members and you need to regularly review whether your goals are being achieved so that you can make informed decisions. Your wine club should be integrated with your accounting and stock control software so as to remove the time, cost and errors associated with maintaining multiple systems. This in turn will provide you with more time to manage your wine club members.”
